At CIF Construction, we’re hiring a Project Administrator in Prince George, BC, to work with our team on construction sites across Western Canada.

This position plays a crucial role in supporting all functions at CIF Construction, including project management, supervision, safety, quality control, payroll, purchasing, and everything in between. No two days are the same, and we pride ourselves on cross-training so we can continually expand our range of expertise.

Responsibilities for this role include preparing and submitting project reports, entering daily payroll, creating, maintaining, and organizing project files, ensuring consistency and accuracy in documents, and tracking project KPIs. This position also works closely with the accounting and purchasing departments, site supervisors, project stakeholders, and team members to coordinate and organize schedules, logistics, onboarding, project tracking, and more.

We’re looking for at least three years of experience in an administrative role and post-secondary education, such as a bachelor’s degree, in accounting, payroll, or business administration. Candidates should have experience with accounting, payroll, and HRES systems. We consider experience in construction environments to be an asset. Attention to detail, a collaborative work ethic, and strong communication, relationship management, organizational, and time management skills are also important.

The Project Administrator frequently works on active construction sites in rural locations throughout Western Canada on a 14-day-on, 14-day-off or 14-day-on, 7-day-off rotational schedule with 10–12-hour shifts depending on the job site. We pay $31.48–$45.91 per hour, depending on experience, plus overtime pay.

This position requires travel to isolated job sites and the ability to live in camp accommodations for extended periods. The ideal candidate is dependable, safety-driven, team-focused, and ready to work where the job takes us.

Duties

  • Preparing and submitting project reports, including LEMs.
  • Entering daily payroll.
  • Creating, maintaining, and organizing project files.
  • Ensuring consistency and accuracy in documents.
  • Collaborating with accounting and purchasing departments to manage vendor invoices.
  • Coordinating site logistics including workforce scheduling, travel & camp bookings.
  • Assisting site supervisors and the purchasing department with supply management.
  • Acting as a liaison between project stakeholders, including clients, project management, engineers, supervision, workforce, personnel, and community members.
  • Designing, tracking, and maintaining project KPIs.
  • Managing onboarding activities including orientation, and confidential employee file maintenance.
  • Supporting quality control, survey, safety, and batch plant personnel to provide clients with project progress.
  • Maintaining accuracy and efficiency of project data across multiple software platforms.
  • Tracking project deficiencies to resolution.
  • Serving as a first point of contact for employee inquiries.
  • Working with safety coordinators to ensure regulatory compliance.
  • Conferring with supervision and mechanics to track preventative maintenance.

Qualifications

  • Post-secondary education in accounting, payroll, or business administration.
  • At least three years of experience in an administrative role.
  • Experience in construction environments is an asset.
  • Advanced skills in Outlook, Word, and Excel.
  • Experience with accounting, payroll, and HRES systems.
  • Proven attention to accuracy.
  • Strong collaborative work ethic in team-driven environments.

Education
